Henna Beyond Borders (HBB, we, us) is a henna conference organised by Shaista Jalal (Canada) and Sara Vazir (Hong Kong), trading together as Henna Beyond Borders. We are not a company; we are two henna artists running this event personally.

These terms apply to every registration for the 2027 edition of Henna Beyond Borders in Ubud, Bali: accommodation from 18 to 22 March 2027, workshops from 19 to 21 March 2027. By submitting the registration form, or by paying for a ticket, you confirm that you have read these terms and agree to them.

Where the website, the registration form and these terms describe the same thing in slightly different words, these terms are the version that counts.

HBB is open to anyone aged 18 or over on 18 March 2027 who loves henna, whatever their level. You do not need to be a professional artist. We may ask for proof of age before confirming a place.

Places are deliberately limited so that the group stays small: 30 places in total, 10 founding early-bird and 20 regular admission. Registration is first come, first served once a place has been accepted and paid for.

Registration happens in three steps:

• You submit the registration form on this website. No payment is taken on the website. The form only records your details and how you would like to pay.
• We review your registration and email you to accept it, together with the payment details for the method you chose (Wise bank transfer or Stripe card payment).
• Your place is confirmed only when the required payment has been received and accepted. Until then, we cannot hold a place for you.

We may decline a registration at our discretion, for example if the event is full or if we believe someone would not be a good fit for a small, respectful group. If we decline your registration, anything you have already paid will be refunded in full.

All prices are in US dollars.

Your ticket includes: four nights of twin-sharing accommodation at the conference resort in Ubud (18 to 22 March 2027), three workshop days with twelve workshops led by four international instructors, henna, jagua and workshop materials during the conference, conference kit, manual, goody bag and certificate, all meals during the conference, welcome and farewell celebrations, wellness activities and late-night henna sessions, conference photography, and airport transfers according to the final transfer schedule.

Your ticket does not include: international flights, Indonesian visas and visa fees, the Bali tourism levy, travel insurance, alcohol, spa treatments, excursions, additional nights, room service, personal shopping and anything else outside the conference programme.

The instalment plan is available for regular admission tickets only. There is no extra HBB fee for paying in instalments, although your bank or payment provider may charge transfer or conversion fees.

• If you register after 20 December 2026, the first two instalments (US$1,000) are due together. If you register after 25 January 2027, the full US$1,250 is due at registration.
• All instalments must be completed by 25 January 2027.
• If an instalment is late, we will email you a reminder. If it is still unpaid 14 days after the due date, we may release your place to someone on the waiting list. Amounts already paid remain non-refundable (see section 8).

Payment is made outside this website, by Wise bank transfer or by card through Stripe, using the details we send you once your registration is accepted. Please include your name and booking reference with every payment.

• Wise, your bank or an intermediary bank may charge transfer or currency conversion fees. Please make sure the full ticket or instalment amount reaches us.
• Any card processing surcharge that we are legally permitted to pass on will be shown to you before you authorise the payment. Your card issuer may add foreign transaction fees.
• Keep your payment confirmations. We confirm receipt of every payment by email.

Your ticket includes four nights in a twin-share room at a four-star resort in Ubud. The exact venue is shared with confirmed participants.

• If you are coming with someone, tell us who you would like to share with. If you are coming alone, we will match you with another participant. Room-sharing requests are honoured where we can, but cannot be guaranteed.
• A private room is available for an extra US$275, subject to availability. Extra nights and upgrades are arranged with the resort and paid separately.
• Check-in is on 18 March 2027 and check-out on 22 March 2027. Nights outside those dates are your own arrangement.

HBB is a small event. Once your place is confirmed we commit, on your behalf and without refund, to the resort, the instructors and the event services. For that reason:

• All payments to HBB are non-refundable, including the first instalment and early-bird tickets, whatever the reason for cancelling. This includes illness, visa refusal, flight problems and changes of plan.
• You may transfer your place to another person who meets the eligibility rules, as long as you tell us in writing (email) at least 14 days before the conference starts, that is by 4 March 2027. The new attendee must complete the registration form, accept these terms and settle any instalments that are still outstanding. Any money changing hands between you and the person taking your place is a private matter between you.
• Transfers requested after 4 March 2027 are at our discretion and may not be possible because of resort, transfer and catering lists.
• We strongly recommend travel insurance with trip-cancellation cover, bought as soon as your place is confirmed. It is the only way to protect what you have paid if something goes wrong.

Nothing in this section limits any rights you have under law that cannot be excluded.

The conference depends on enough confirmed participants and on the necessary venue arrangements and permissions. If we have to cancel the 2027 edition, or move it to different dates or a different country, we will tell every registered participant by email as soon as we know, and you may choose either:

• a full refund of everything you have paid to HBB, returned by the same method you paid with, within 30 days of your choice; or
• a transfer of your place and all payments to the next edition of Henna Beyond Borders, at no extra cost, with any price difference in your favour honoured.

We are not responsible for costs you incur outside the ticket, such as flights, visas, insurance or extra accommodation, so please book those once your place is confirmed and keep them flexible where you can.

Smaller changes. We will make every reasonable effort to deliver the programme as advertised. Individual instructors, workshops, timings, wellness activities or the venue may need to change for reasons outside our control (for example illness, travel disruption or resort availability). Where a change is material we will tell you and explain your options. A change of instructor or workshop does not, on its own, entitle you to a refund.

Events beyond anyone's control. If the conference cannot go ahead because of something neither we nor you could reasonably prevent (natural disaster, epidemic, government travel restrictions, civil unrest, or similar), the choice of refund or transfer above still applies to amounts we are able to recover, and we will pass on everything we recover from the resort and suppliers.

• You are responsible for holding a valid passport, the correct Indonesian visa, travel insurance and any other documents needed to enter Indonesia and attend the conference. Entry decisions are made by Indonesian immigration authorities, not by us.
• After your registration is confirmed we can provide a conference invitation letter on request. An invitation letter supports an application but does not guarantee a visa.
• Visa fees, the Bali tourism levy and the All Indonesia arrival declaration are your responsibility. The amounts shown on our website are a guide and may change.
• Airport transfers are included on the arrival and departure days according to the final transfer schedule, which we build from the flight details you send us. Transfers outside that schedule may not be possible.

• Workshops use natural henna, jagua and related materials. Please tell us in advance, and tell the instructor on the day, about any allergies, skin conditions, pregnancy or medical conditions that could be affected. Do a patch test if you have not used a product before.
• Wellness activities (yoga, meditation, breathwork) and the pool are optional. Take part only if you are comfortable doing so.
• Bali is a tropical destination. Please take sensible precautions, including mosquito repellent, sun protection and drinking bottled water, and make sure your travel insurance covers medical treatment abroad.

HBB exists so that henna artists can learn from each other without competition, hierarchy or gatekeeping. In return we ask every participant to:

• treat fellow participants, instructors, the resort team and local people with respect;
• respect the venue, its rules and Balinese customs;
• respect instructors' work: photographing and filming during workshops is welcome for your own learning, but please do not record full classes for publication or resale, and credit artists when you share their designs;
• keep anything shared in confidence within the group.

If someone's behaviour threatens the safety, wellbeing or enjoyment of others, we may ask them to leave the conference. No refund will be given in that case, and any costs of leaving early are the participant's own.

A professional photographer will document the conference, and participants will naturally take photos and videos too. By attending, you agree that images and recordings in which you appear may be used by Henna Beyond Borders on our website, social media and in materials promoting future editions.

If you would prefer not to be featured, email us before the conference and we will do our best to keep you out of published images. Some group photography and video may still include you incidentally. You may also ask us at any time to take down a specific image in which you are identifiable.

Photos of your own henna work remain yours. You give us permission to share them with credit.

We use the details you give us to manage your booking, payments, rooming, transfers and event communications. Passport and flight details are requested only when needed for visa letters and airport transfers. How we handle your information is explained in our Privacy Policy, which forms part of these terms.

• We will organise the conference with reasonable care and skill. We are not liable for losses that we could not reasonably have foreseen, or for losses caused by the resort, airlines, immigration authorities, payment providers or other third parties acting independently of us.
• We are not liable for the cost of flights, visas, insurance or other travel arrangements you make, or for personal property lost, stolen or damaged during the conference.
• To the fullest extent permitted by law, our total liability to you in connection with the conference is limited to the amount you have paid to HBB for your ticket.
• Nothing in these terms limits or excludes liability for death or personal injury caused by our negligence, for fraud, or for any other liability that cannot be limited by law, and nothing limits your rights under consumer protection law that cannot be excluded.

These terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable there. If something goes wrong, please email us first; we would much rather sort it out between us. If we cannot, the courts of Ontario have exclusive jurisdiction, except that you may bring a claim in your own country if the law there gives you that right.

We may update these terms, for example to correct an error or to reflect a change in the programme. The version in force is the one published on this page, marked with its date. If we make a change that affects your existing booking in a meaningful way, we will email you, and the terms you accepted when you registered will continue to apply to your refund and transfer rights.

These terms, together with the Tickets, Payments & Travel Essentials page and the Privacy Policy, are the whole agreement between you and HBB for the 2027 edition.
